MANUALS AND REVISIONS |
| |
1.
How can The Service Bureau help me with manuals
and revisions?
If
you want an affordable, world class document system
we can help. In
a nutshell, we provide world class manuals, forms
and on-going revision services to Police and Aviation
customers in paper and electronic media. Thus, your computer hardware, software and
learning curve issues associated with documents
are eliminated.
|
2. Can you supply
a sample manual for us to review?
Yes. Sample police and/or aviation manuals can be viewed by clicking
on Sample
Police Manual or Sample Aviation
Manual. The sample manuals are in an Adobe Reader format (dot.pdf file).
You will need Adobe Acrobat Reader to view or print the files. You may download
the most recent version of Adobe Acrobat Reader
free of charge from the Adobe web site.
|
3. Please describe the actual
paper and electronic manual in more detail.
You will receive one master
paper manual from us and one electronic version.
The manual will be similar to the sample
manuals mentioned above. The pages are printed on 8.5 x 11, 3-hole,
white paper stock.
The manual contents are in a navy blue, slant
D 3-ring, heavy duty Avery binder with clear plastic
pockets for the Cover (title) page and Spine insert. If you prefer a different kind of binder, we can supply other types
as well. We
laminate the covers and spine insert for you.
Chapter or Part tabbing is provided as well.
Your staff may Xerox copy as necessary for
additional paper distribution within the department
(or send out for copying).
If you want your logo or patch on the cover,
we will need the actual logo or patch or the logo
or patch in a digital format. The electronic version of the manual is in
Acrobat Reader format, a dot.pdf file.
This format provides you with a "screen"
version (Adobe Reader is an industry standard for
document viewing and archiving). The electronic version is PC/laptop compatible,
intranet ready, hyperlinked, fully searchable, cross
referenced by state or federal statute and can be
printed out if needed.
|
4. How does The Service Bureau
write the manual and what part does the customer
perform?
We can write a manual from scratch (our
templates) or use your existing material.
Often, the manual is a composite of the two.
After we receive your written material we
begin work. In complex documents we review the information
first and provide you with an estimated price and
time to complete.
In a few weeks, the first draft is sent to
you (we refer to you as the Document Manager) in
paper or electronic form for your review and further
revision, additions, etc. This process goes on until you have the master
manual the way you want it.
|
5. What
about revisions after the manual is written?
How do the revisions get done?
We
do NOT sell a manual and then leave.
Revisions are performed as necessary and
are contracted on a year by year basis.
Revisions will be done in accordance with
your instructions and we will prepare a revision
memo to indicate what pages for everyone to remove
/ insert. The lower part of this revision memo has a "signed receipt"
area for the manual holder to return to the supervisor. The receipt serves to document that the revisions
were in fact received by the manual holders, understood
and posted. We
should also mention that the "Highlights of
Revision" page in the manual also serves as
a convenient briefing reference for the supervisor
when informing the staff verbally of the changes
(to ensure that questions concerning the revisions
are answered, etc.)
|
6. What does it cost to write
a manual? What does it cost for on-going revisions?
Call us and we can provide a FREE QUOTE over the telephone for the
manual(s) and revisions.
We will ask you a few questions first such
as the format of your current data (i.e., digital
or paper), amount of graphics and approximate number
of pages. Our pricing includes the electronic version
of the manual too.
Pay for one, get both.
Revision
services are priced on a flat rate annual basis
plus a per page charge. We do NOT sell a manual and then leave. Our intent is to be a competitive, high quality,
outsourced service partner for document management.
|
7.
How do we compare prices for document services?
Price comparisons should be performed
by using a Total Cost Model.
After you receive a price from us (or anyone
else) we encourage you to compare our pricing to
others. Our
experience is that most charge $25 to $45 per hour
and are unable to match our quality, features, speed
and customer service.
Bottom line:
our customers appreciate the customized value
added and quality. Since we must compete with in-house and other resources, there is
strong market pressure for us to produce high quality
manuals at affordable prices that are easy to revise.

you compare our pricing to others.
|
8. Can the electronic
version of the manual be put on a laptop and on
our network?
Yes. The electronic version is provided on CD in Acrobat Reader format
and is PC/laptop compatible, intranet ready, hyperlinked,
fully searchable, cross referenced by state or federal
statute and can be printed out if needed.
|
9. What about quality or
professional standards?
On
the aviation side we have produced manuals, forms
and Standard Instrument Approach Procedures that
have been accepted and approved by the Federal Aviation
Administration (FAA).
On the law enforcement side we have produced
manuals that incorporate CALEA and various state
quality standards.
In all cases we write manuals that conform
to international quality standards such as ISO 9000
in terms of format and organization.
|
10. Does The Service Bureau
offer a guarantee?
Yes. We have a 100% Satisfaction Guarantee. If the customer is not satisfied with the manual(s)
for any reason, then you owe nothing. Period. This guarantee is
in writing in our Service Agreement (contract). You do not receive an invoice from us until the work is done and
you are 100% satisfied.
|
11. Do you have customer
references we can call?
Yes. We can provide you with nearby aviation or police references.
We also have posted a few customer testimonials
on this site as well.
|
12. How do we start?
- Send
us your old material in whatever format you
have in the general order you prefer.
If printed, please use 3-hole punch paper.
Include one crispy dollar so we know
you're serious.
- When
we receive the material, we begin work whether
you have signed the Service Agreement or not
(saves time).
Written Progress Reports will be made
to you.
- In
3 to 4 weeks you will have a partial draft of
your new manual to review.
At this point we stop writing to ensure
that we are on track with you in terms of quality
and customer satisfaction.
- After
we receive your response / review of the draft
manual, we usually complete the remaining portions
of the manual and submit the complete draft
manual to you for review.
(Steps 2-4 can be done via e-mail.)
- Assuming
the final draft is satisfactory, we print the
manual, laminate the covers and spine, insert
into a heavy duty binder and present the master
paper manual and electronic CD to you.
- Finally,
after all the work is done and we know you are
satisfied, we prepare an invoice.
If you want our Tax Identification Number
or if we must be on an approved vendor list
please advise.
